A few details......
This is the process you can expect when working with us. We try to make it easy for you!
Planning:
-Think about your site, group size, your style (casual or formal?), event date and time, and budget.
-Start by having us visit the site, take measurements,and answer any questions you may have.
-From this information we will provide a detailed proposal and a graphic showing all of your rentals and how they will be arranged.
-If you see changes that you'd like, contact us and we will update and re-submit proposal as well as the the graphic. This is a dynamic process that may take several rounds, and that is ok!
Scheduling:
-If you are comfortable with the proposal and the layout, call or email to reserve the date and equipment.
-At this time we ask for a $250.00 deposit, and a signed contract.
-Final quantities and details are due 2-3 weeks in advance of your event. At this point your final signed contract is due.
Site preparation:
-If we are driving stakes on your property, you will call Gopher One (dial 811) 4 to 5 days before the tent installation, and they will arrange for underground utilities to be marked. This is a free service. Click on the link here for more info.
-Mow your lawn the day before the utility representatives visit your site.
-You will see several different representatives of the utilities visit your property, using spray paint and/or flags to mark the respective utilities.
-Be sure to mark any private lines, such as sprinklers, private electric, etc. We cannot be responsible for hitting unmarked lines!
-Email or fax us the confirmation number from Gopher One.
-Leave all flags and paint markings intact for our installation crew. Crew safety and preservation of your proerty are of utmost importance!
-Delivery and Installation:
-We will arrive on the date agreed upon to deliver and install your equipment, weather permitting. Rain, lightning,wind, sleet, snow, make installing a tent difficult or even impossible. That being said, our crews are tough and will do what it takes to get the job done within reason. Safety first.
-Please have vehicles, lawn furniture, hoses, etc., away from the install area. No children, pets, relatives in the area, please.
-The main contact person should be on site to discuss final layout of all of the equipment.
-Payment is due upon arrival at your event. If you will not be present, payment must be made in advance.
-Sit back and let our trained, uniformed staff do all of the work!
-Tent installation is hard work! Our crews do not expect, but graciuosly accept cold, non-alcoholic beverages.
-Gratuities are not expected, but are certainly welcome!
-Have a great event and enjoy the equipment!
During your event:
-Every effort is made during install to secure the equipment properly and test all lights, sound equipment, etc. If you have a problem during the event, call us and we will be there ASAP to correct the problem.
-Our tents are wind rated, but even the best equipment is unsafe to be under during severe winds. Use common sense and evacuate if needed.
After the event:
-Please move any equipment inside if weather looks inclement.
-If your contract dictates, please strip all linens from tables and place in the bags provided. Also stack tables and chairs under the tent or inside if possible, or in the same manner as they were delivered.
-Our crew will arrive on the arranged date to remove the equipment - again, weather permitting.
-Please note that trash removal is not included when you purchase trash/recycling containers from us. It is your responsibility to get the trash and recycling to the curb for pickup by your trash hauler.
